Finance Admin Coordinator

The Finance Team is looking for a hands-on, highly organised individual to assist Finance, including transformation programs, corporate activities and the wider Finance Team. The candidate will provide administrative support to ensure optimal day-to-day operational efficiency of the Finance team which includes functions such as Corporate Finance, Financial Control, Financial Planning and Analysis, Tax and Treasury.  

The candidate will be a dynamic individual who is proactive and can maintain a high level of professionalism and confidentiality in a fast-paced environment. 

Interesting problems you’ll get to solve

  • Provide administrative support for the wider finance team including:
    • Organise, schedule, chair and minute Finance and Committee meetings.
    • Organise and maintain finance calendars including corporate and team meetings, leave calendar, reporting calendar, social events, events, room bookings, invitations and organisation of associated materials including management reviews where applicable.
    • Task management and workflows: monitor, track and actions tasks, escalating as appropriate. 
    • Manage Board and Sub-Committees for the Finance Team ensuring timely communication of timetables and agenda items, schedule internal and external management paper reviews, on time Company Secretary submission, and timely follow up action items.
  • People management for the Finance team including
    • Assist with the recruitment for vacant roles from onboarding in the system, organising interviews and induction for new starters.
    • Manage the communication to the Finance team for performance appraisals cycles to ensure all Finance team members complete the required activities on time. 
    • Assist with current initiatives to ensure all team members have JD’s and succession planning is in place.
    • Introduce monthly Finance newsletter.
  • Provide administrative support to the CFO including 
    • Diary and travel management.
    • Ad hoc requests.
  • Any other ad hoc request

What you’ll bring to the team

  • Previous executive assistant working with finance team with 6+ years preferred where you have provided administrative support and demonstrated ability to establish work priorities, meet deadlines and commitments in a demanding environment
  • Detailed oriented with great attention to detail 
  • Comfortable with ambiguity and an ever-changing environment
  • Proactive and resourceful. A resilient independent thinker who is always one step ahead of the teams needs. 
  • Build and maintains strong working relationships and rapport across the organisation and Finance team and acts with integrity
  • Ability to think under pressure and display good judgement and be confident in making decisions appropriate for the role. 
  • Strong verbal and written communication skills, including asynchronous working with stakeholders from remote/international teams
  • The ability to recognise and/or generate imaginative and creative solutions, challenging the status quo and identify opportunities for improvement
  • Desire to continually improve, including challenging the status quo and making changes to internal control processes
  • Excellent relationship skills and an outgoing personality, with the ability to use both to build consensus and action across our business
